Assignment 5

Draw a context diagram and explode it into a system diagram to show the the operations of the Publications Awards Committee at Bentley College.

The Publications awards committee begins its operations in January each year. The objective of the first meeting is to setup the calendar for its activities and review the criteria and process for selecting award recipients. The Chairman of the committee is asked to draft a memo on publications submission process for distribution to the faculty. This draft is revised during the month of January until all members of the committee are satisfied with the contents.

In February, the approved memo is sent to the distribution office which makes copies and mails them to all faculty members. This memo outlines the submission process and specifies that the last date for faculty members to submit their application is March 15th.

Meanwhile, the committee negotiates a budget with VP of Finance for prize money and other expenses.

In the month of April, the committee reviews the applications received by March 15th. Applications are partitioned into three categories: Clear Winners, Clear Losers, and Marginal Cases. Clear losers are eliminated from further consideration. Marginal cases are deliberated on case-by-case until a consensus is reached for reclassifying them as winners or losers.

A list of award recipients is prepared and sent to the print shop for printing award certificates. Depending upon the budget and the number of recipients, the prize amount for each recipient is determined. The names and the amount are forwarded to accounts payable for printing checks. Award certificates and checks are gift wrapped and sent to the President's Office. The President distributes the awards to the recipients during a special ceremony in September.
